Rich (extension 11) was given the total numbers for band and chorus.  Band sold 318 items, chorus sold 290 items.  The profit margin was close to 35% of the sales.  See spread sheet for total profits. Pizza order forms were handed out around Sept. _____.  Orders had to be turned in by Friday, Sept. 21.  The orders were phoned in to Rich on Friday, Sept 21 with a few additions phoned in on Monday, September 24th.  The packets were picked up at 6pm on Sept 27th .  The truck was schedules to come at 5:30pm.  I asked if they could arrive by 5pm so that chorus who gets out at 5pm would not have to wait long.  Next year it would be better if the truck could arrive one hour before the first group finishes.  (Band ended at 5:30pm and the truck still hadn’t arrived).  You will need at least 45 minutes to unload the truck and take inventory.  Also, the offices at Giannis close at 5pm so there is no one to contact after that time if the truck does not arrive at the scheduled time.  The pizza’s are in cardboard boxes that will stay cold for a few hours.

 

Be sure to send out e-mail reminding when pickup time is and also announce it to the band/chorus group the proceeding days as well.  This year we had it on the calendar of events but there were still people that needed to be called for pickup.  Cell phones came in real handy at pickup time.  Make sure all the order forms are totaled, alphabetized and have phone numbers before the day of pickup.  The order forms were returned to the students with their items order.  An excel spread sheet (attached) was used to tally everyone’s order and to figure the student profit.

 

Two pizza’s were missing in the order, and we had two pizza’s that were not ordered.  One of these was used as a substitution but one had to be delivered the following week by Al Lehman.  There were also 4 extra boxes of juice delivered.  Two were given to chorus and two were given to band. 

 

Pickup took place in the front hall down near the band rooms in front of the trophy cases.  Giannis gave us sheets to mark where to put each item.  There were a total of 19 different items.
